Ordering online and receiving a digital result are not the same as universal acceptance. Know what to verify before you start.
An online police-check application may allow digital identity and consent steps and electronic delivery, but the requester decides whether that format and check type meet its current rules. A digital file is not automatically interchangeable with a police-service result or an RCMP fingerprint-based check. Ask the employer, regulator, platform, or organization for the exact check type, issuer, format, and recency it requires before ordering.
Ontario's framework names the check types: a criminal record check, a criminal record and judicial matters check, and a vulnerable sector check. Completing an application online does not change the legal scope of the check selected.
An online flow may include consent, identity verification, payment, and delivery by email or portal. Those conveniences can be useful, but they do not answer whether a particular employer or licensing authority wants that issuer or file format.
A digital result may include features that help a recipient assess how it was issued. The requester should tell you whether it accepts an electronic original and how it wants the document submitted.
Do not treat electronic delivery as proof that a result is valid for every purpose. A vulnerable sector check has separate eligibility rules, and an RCMP fingerprint-based criminal record check is a different process.
Only the organization that will receive the result can confirm acceptance for its process.
Get the requirement in writing where possible. Ask the requester to name the check rather than relying on broad wording such as “background check,” and ask whether it has a prescribed form, upload route, or deadline.
Keep the electronic original unchanged once it arrives. A screenshot, printed copy, edited PDF, or forwarded file may not meet a requester's verification process even where the original digital result does.
